01The Property Bureau is operated by AIRLIVING LLC. We provide customer support services for property management companies — tenant calls, maintenance triage, vendor coordination, and after-hours cover.
This policy explains what information we handle on behalf of the companies we work for, where it lives, who can see it, and how long we keep it. It is written in plain words, the same way we write shift notes.
What we handle
02To do the work, we handle information you give us or that comes in through the shift. This includes:
- Tenant contact details — names, phone numbers, email addresses, unit numbers.
- Maintenance histories — what was reported, when, what was done, by which vendor.
- Vendor details — names, trade, contact information, scheduling notes.
- Account and access details — credentials you provide so we can work in your system.
- Anything that arrives in a tenant call, message, or email during a shift.
We do not collect information for its own sake. We hold only what the work needs, and we hold it only for as long as the work — or the law — requires.
How we use it
03We use the information we handle to do exactly the work you engaged us for:
- Answer tenant calls and messages and log the outcome.
- Triage maintenance requests and dispatch vendors.
- Follow up with vendors and confirm work is complete.
- Cover after-hours, weekends, and holidays.
- Write the daily shift report that lands in your inbox each morning.
We do not use your data, your tenants’ data, or your vendors’ data for any other purpose. No marketing lists. No profiling. No training models on your records.
Where it lives
04When we work in your system — AppFolio, Yardi, Buildium, a shared inbox — the notes stay in your system. We access it under credentials you provide, and we touch only what the work needs.
When we bring our own system, we keep the record for you. It is one source of truth, the one we keep for you, so nobody is left guessing where the record lives. You may request a copy of everything we hold at any time.
Either way, you do not run a second office. The record lives where your people already look.
Who can see it
05Access is narrow. Only the named team assigned to your account, and only the staff on that team who need a given record to do the work, can see it. Everyone on the team is bound by the same confidentiality that runs through the arrangement.
We do not disclose your information to third parties except where required by law, where you direct us in writing, or to our own staff who need it to do the work.
What we do not do
06To keep the line clean, we do not:
- Sell your data, your tenants’ data, or your vendors’ data. Ever.
- Share it with third parties for their own purposes.
- Repurpose it for anything outside the work you engaged us for.
- Use it to build profiles, marketing lists, or training sets.
- Move it out of your system unless you ask us to.
How long we keep it
07When we work in your system, retention follows your system’s rules and your agreements with your tenants. We do not keep a separate copy.
When we keep the record in our system, we hold it for the duration of the arrangement. When the arrangement ends, we hand back or export any records we hold, and we delete what remains on our side within thirty (30) days — unless a longer retention is required by your agreements or by law, in which case we hold only what is required and nothing more.
Your rights
08You may ask us, at any time, to show you what we hold, to correct it, or to export it. Where the law gives your tenants a right of access, correction, or deletion, we help you meet that right — the record is yours, whether it lives in your system or ours.
Write to the contact at the bottom of this page and we respond within a reasonable time — the same way we respond to your tenants.
Security
09We keep access narrow, we keep credentials to the people who need them, and we rotate them when a team member leaves the account. We do not store payment card details. We log who touched what, where the system allows it, so there is a trail.
If something goes wrong — a breach, a lost credential, a misdirected note — we tell you fast, in the shift report or sooner, and we help you contain it.
Cookies and analytics
10Our website uses only the cookies needed to keep the site working. We do not run ad trackers, we do not sell browsing data, and we do not profile visitors. Any analytics we run is aggregate and minimal, used only to keep the site itself in shape.
Changes to this policy
11We may update this policy as the bureau grows or as the law shifts. When we do, we send you the new policy and the date it takes effect at least fourteen (14) days ahead. If the change is material and you do not accept it, you may end the arrangement before it takes effect without penalty.
The date at the top of this page is the last time this policy changed.
